Project Manager Epic Systems Migration (Hospital Clinics Consolidation)

Location: Remote

Duration: Contract

About the Role:

We are seeking an experienced Project Manager to lead and oversee a large-scale Epic Systems migration initiative, consolidating electronic medical records (EMR) from 100+ hospital clinics into a central Epic platform. This is a critical enterprise program aimed at enhancing system interoperability, streamlining patient data access, and enabling consistent workflows across facilities.

The ideal candidate will bring extensive experience managing Epic EMR projects, especially in complex healthcare environments with multiple locations and stakeholder groups. Youll be responsible for full lifecycle project management from planning, resource coordination, risk management, and communication to successful deployment and post-migration support.

Key Responsibilities:

  • Lead the planning, execution, and delivery of the Epic consolidation project involving migration from over 100 hospital clinics to a centralized Epic environment.
  • Develop and maintain a detailed project plan, outlining timelines, milestones, dependencies, resource allocation, and risk mitigation strategies.
  • Coordinate with Epic analysts, technical teams, clinic IT teams, clinicians, and external vendors to ensure alignment and timely execution.
  • Manage cross-functional teams including application analysts, data migration engineers, testing resources, trainers, and support staff.
  • Oversee all phases of the migration: assessment, data mapping, validation, cutover planning, end-user training, go-live support, and stabilization.
  • Conduct regular status meetings, steering committee updates, and issue/risk tracking sessions.
  • Ensure compliance with HIPAA, healthcare regulations, and internal data governance policies throughout the project.
  • Manage stakeholder expectations and provide transparency through detailed reporting and dashboards.
  • Drive change management and communications to prepare staff across all impacted clinics.

Required Skills & Experience:

Years - Requirement

8+ - Project management experience in healthcare IT, particularly EMR/clinical systems

5+ - Proven experience leading Epic implementation or migration projects across multiple facilities

5+ - Experience with enterprise-level EMR migrations, data consolidation, and workflow alignment

3+ - Strong understanding of Epic modules (Ambulatory, Cadence, HIM, Bridges, etc.) and interfaces

3+ - Experience managing data migration, validation, and cutover activities

Proficient with project management tools (MS Project, Smartsheet, Jira, etc.)
