Human Resources Assistant (Part-Time)

Department: Human Resources
Reports To: Chief People Officer
Status: Part-Time (20 hours per week)
FLSA Status: Non-Exempt

Position Summary

The Human Resources Assistant serves as the first point of contact for many employment candidates, new employees, volunteers, and visitors. This individual supports recruitment, onboarding, employee engagement, volunteer services, training coordination, and HR administration while maintaining the highest level of confidentiality and professionalism.

Essential Job Responsibilities

Recruitment & Talent Acquisition

  • Conduct initial phone screenings with applicants.
  • Schedule interviews with hiring managers.
  • Coordinate interview logistics.
  • Maintain applicant tracking records.
  • Communicate professionally with candidates throughout the hiring process.
  • Assist with employment offers and pre-employment paperwork.
  • Attend hiring events and job fairs as assigned.

Employee Onboarding

  • Coordinate all new hire paperwork.
  • Prepare onboarding packets.
  • Conduct engaging New Employee Orientation sessions.
  • Ensure completion of I-9s, W-4s, policy acknowledgments, and required employment documentation.
  • Coordinate pre-employment requirements.
  • Track onboarding completion and required training.

Volunteer Services

  • Coordinate volunteer onboarding.
  • Conduct volunteer orientation.
  • Maintain volunteer records.
  • Process volunteer paperwork.
  • Assist with volunteer appreciation initiatives.
  • Support volunteer recognition events.

Employee Relations & Engagement

  • Welcome new employees and help them transition successfully.
  • Coordinate employee appreciation activities.
  • Help organize wellness initiatives.
  • Promote a positive workplace culture.

Human Resources Administration

  • Maintain confidential personnel files.
  • Maintain volunteer files.
  • Prepare employment verification requests.
  • Assist with benefit enrollment paperwork.
  • Track required licenses and certifications.
  • Maintain HR databases.
  • Prepare reports and spreadsheets.
  • Assist with policy acknowledgments.
  • Maintain training records.
  • Update organizational charts as assigned.
  • Assist with special HR projects.

Compliance

  • Maintain confidentiality of all employee information.
  • Assist with personnel file audits.
  • Ensure employment documentation is complete.
  • Support compliance with federal, state, and local employment laws.
  • Assist with HR compliance reporting.
  • Maintain accurate records for audits and inspections.

Customer Service

  • Serve as a welcoming ambassador for Human Resources.
  • Answer employee questions professionally.
  • Provide excellent customer service to applicants, employees, volunteers, and community partners.
  • Build positive relationships throughout the organization.

Requirements

Qualifications

Required

  • High School Diploma or GED.
  • Two years of administrative, customer service, or office experience.
  • Outstanding interpersonal and communication skills.
  • Strong organizational skills.
  • Excellent attention to detail.
  • Ability to maintain strict confidentiality.
  • Proficiency in Microsoft Word, Excel, Outlook, and Teams.
  • Ability to manage multiple priorities.

Preferred

  • Associate’s or Bachelor’s Degree in Human Resources, Business Administration, or related field.
  • Human Resources experience.
  • Nonprofit experience.
  • Volunteer management experience.
  • Experience conducting presentations or orientations.
  • Knowledge of employment law and HR best practices.

Physical Requirements
