Job Description:

The Administrative Assistant will serve as a key point of contact for the office, supporting day-to-day administrative functions and ensuring smooth office operations. This position requires a polished professional who can manage multiple priorities, support leadership, and maintain a high level of confidentiality and organization.

Key Responsibilities:

  • Welcome employees and visitors, ensuring a professional and organized front office experience.
  • Manage incoming calls and emails, route inquiries appropriately, and prioritize urgent communications.
  • Oversee general office upkeep including shared spaces, supply inventory, and breakroom coordination.
  • Coordinate travel arrangements, lodging, and event logistics as needed.
  • Support internal engagement initiatives and assist with ordering and tracking company materials.
  • Draft, edit, and distribute correspondence, reports, and presentations.
  • Prepare and reconcile expense reports, ensuring timely processing and monthly reporting to leadership.
  • Maintain leadership calendars, schedule meetings, and coordinate conference rooms or external meeting spaces.
  • Handle sensitive information with discretion and professionalism.
  • Provide additional administrative support as assigned.

Qualifications:

  • High school diploma required; Associate degree preferred.
  • Minimum of 2 years of administrative experience in a corporate setting.
  • Strong proficiency in Microsoft Office Suite, including Outlook and calendaring tools.
  • Ability to manage multiple tasks in a fast-paced environment with strong attention to detail.
  • Excellent verbal and written communication skills.
  • Demonstrated professionalism and strong customer service orientation.

Additional Details:

  • Full-time, Monday–Friday schedule during standard business hours.
  • Office-based role with minimal local travel as needed.
  • Position requires extended periods of computer and phone use.
